How we use your Google Data (Google Apps)

We only collect information that is critical to the delivery of our Services to you, our customer. All of the information collected directly by us is listed below:

  • Gmail/Google Apps Email address – for establishing OAUTH connection and to identify people within the same organization
  • OAuth token – used to connect to your Gmail account for the purposes of using our Application
  • Meta data – attributes to track and sync your data on your behalf related specifically to your email inbox (and subfolders) and your sent folder

To provide our Services we require access to the data held in the customers email systems (Gmail) to provide ability to track emails from Gmail to the CRM system. List of permissions needed to deliver core functionality:

  • Access to IMAP email/event for read/display/synchronization against matching CRM records.
  • Access to SMTP email/event for send communications directly from CRM records through your GMail account.

This requires that we ask your permission when linking Gmail to the CRM for the following GMail access rights (ie. Scopes):

  • openid: In order to use OAuth for Gmail. User ID, so we can identify you.
  • email: Used to connect CRM username and Gmail username for License purposes.
  • profile: In order to use OAuth for Gmail.
  • The Google API scope [https://mail.google.com/] which enables the IMAP/SMTP functionality needed within the CRM to provide the functionality described above.

TabletCRM’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data obtained through Google Workspace APIs to develop, improve or train generalized artificial-intelligence or machine-learning models.

Microsoft 365 Data

If you connect a Microsoft 365 (Outlook) account, we access e-mail and calendar data only as needed to track messages and appointments against matching CRM records and to send communications from CRM records through your account, using the permissions you approve when you connect. You can disconnect the account at any time.

QuickBooks Online and Xero Data

If you connect TabletCRM to QuickBooks Online or Xero, we use the secure OAuth connection you authorize to exchange accounting data between the two systems — for example customers and vendors (contacts), items, invoices, payments and related transactions — solely to provide the synchronization you have enabled. Access tokens are stored securely and are used only for that purpose. You can disconnect the integration at any time from TabletCRM or from your QuickBooks or Xero account, which ends our access.

Other Integrations and Payment Processing

When you enable other integrations (for example e-commerce, shipping, sales-tax, address-validation or e-mail marketing services), we exchange only the data needed to provide that integration. Payments may be processed by third-party payment processors such as Authorize.NET, whose handling of payment information is governed by their own privacy policies.

Artificial Intelligence Features (C.A.I.S.E)

TabletCRM includes C.A.I.S.E (CRM AI Services Environment), a set of artificial-intelligence features. AI features run when a user initiates them — for example by asking a question, enabling Deep Query or running Deep Research.

  • What is processed. To produce a result, C.A.I.S.E processes the prompt you enter, any content you paste (such as an e-mail), and the relevant Customer Data on the screen you are using — for example the customer record you are viewing, or the work order and knowledge-base articles involved.
  • Deep Research. Deep Research uses identifying details from the record (such as a company name, location or web address) to search publicly available web sources for missing information such as web sites and social media accounts. Results, including source references, may be saved to the record.
  • AI service providers. AI features are powered in part by third-party AI and search service providers. We share inputs and record data with them only to the extent needed to generate the result you requested, under agreements that restrict their use of that data.
  • Storage. AI results you save, and records C.A.I.S.E creates, become part of your Customer Data and are handled like any other Customer Data under this policy.
  • Your choices. Avoid entering sensitive personal information (such as government ID numbers, full payment card numbers or health information) into AI features. Use of AI features is also governed by the “Artificial Intelligence Features (C.A.I.S.E)” section of our Terms of Service.

Google Play Store (Android Apps), Apple App Store (iOS)

Our mobile applications, distributed through Google Play and the Apple App Store, strictly prohibit the sharing of user data with third parties, and any collected contact or email information is utilized exclusively internally for customer support and essential business communications. Furthermore, our apps request only the minimum required security authorizations to function properly; for example, our service app may require camera access for the sole purpose of allowing technicians to document field-service conditions, such as product damage.

External Links

Although this website only looks to include quality, safe and relevant external links, users are advised adopt a policy of caution before clicking any external web links mentioned throughout this website. The owners of this website cannot guarantee or verify the contents of any externally linked website despite their best efforts. Users should therefore note they click on external links at their own risk and this website and its owners cannot be held liable for any damages or implications caused by visiting any external links mentioned.

Adverts and Sponsored Links

This website may contain sponsored links and adverts. These will typically be served through our advertising partners, to whom may have detailed privacy policies relating directly to the adverts they serve.

Clicking on any such adverts will send you to the advertisers website through a referral program which may use cookies and will track the number of referrals sent from this website. This may include the use of cookies which may in turn be saved on your computers hard drive. Users should therefore note they click on sponsored external links at their own risk and this website and its owners cannot be held liable for any damages or implications caused by visiting any external links mentioned.

Social Media Platforms

Communication, engagement and actions taken through external social media platforms that this website and its owners participate on are custom to the terms and conditions as well as the privacy policies held with each social media platform respectively.

Users are advised to use social media platforms wisely and communicate / engage upon them with due care and caution in regard to their own privacy and personal details. This website nor its owners will ever ask for personal or sensitive information through social media platforms and encourage users wishing to discuss sensitive details to contact them through primary communication channels such as by telephone or email.

This website may use social sharing buttons which help share web content directly from web pages to the social media platform in question. Users are advised before using such social sharing buttons that they do so at their own discretion and note that the social media platform may track and save your request to share a web page respectively through your social media platform account.

Shortened Links in Social Media

This website and its owners through their social media platform accounts may share web links to relevant web pages. By default some social media platforms shorten lengthy urls [web addresses] (this is an example: http://bit.ly/zyVUBo).

Users are advised to take caution and good judgement before clicking any shortened urls published on social media platforms by this website and its owners. Despite the best efforts to ensure only genuine urls are published many social media platforms are prone to spam and hacking and therefore this website and its owners cannot be held liable for any damages or implications caused by visiting any shortened links.

Service Providers

We use trusted third-party service providers — such as hosting, payment, e-mail delivery, analytics and AI service providers — to operate the Services. They may process information only on our behalf and as needed to perform their services. We may also disclose information if required by law, to protect our rights or users, or in connection with a merger, acquisition or sale of assets.

Data Security

We use administrative, technical and physical safeguards designed to protect information, including SSL/TLS encrypted connections, security monitoring, automated software and patch updates, and monitored backups. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Data Retention and Deletion

We retain information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes and enforce our agreements. As described in our Terms of Service, account content is deleted upon cancellation and cannot be recovered afterward.

Your Rights and Choices

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, to object to or restrict certain processing, and to opt out of marketing communications. To make a request, contact us using the details in the Data Controller section above. If your information is stored in the Services by one of our customers, please contact that customer, and we will assist them as required.

Children’s Privacy

The Services are intended for businesses and are not directed to children. You must be 18 years or older to use the Services, and we do not knowingly collect personal information from children.

Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated date, and where appropriate we will notify you by e-mail.

Definitions

Service(s): means the products and services that are accessed directly or indirectly on the KnowTia website, either as a trial, discounted or fully paid subscription, including associated KnowTia on-premise or mobile components. “Services” exclude content and third-party products.

Monthly Plan: The payment option where customers pay a month in advance for the KnowTia service. They are charged their Current Subscription Price and can cancel at any time.

Prepay Plan: The payment option where KnowTia customers pay for 12 months of KnowTia up front, for a discount. We calculate a Prepay Balance as follows: 12 x Current Subscription Price x x% discount. Every month the Prepay Balance is deducted by the amount of their Current Subscription Price less a % discount.

Prepay Balance: The amount remaining on their Prepay Plan.

Prepay Grace Period: The 30 day period after the customer signs up (enrolls), renews or auto-renews for the Prepay Plan. During this window they may switch to a Monthly Plan without penalty.

Current Subscription Price: The value of the customer’s subscription, represented as a monthly price. It considers point in time packs, user licenses and any metered usage such as portal, public pages and storage. This is calculated every month on the Monthly Billing Date and is used to update the Prepay Balance and Prepay Renewal Date.

Monthly Billing Date: This is the day of the month that customers on the Monthly Plan are charged and customers on the Prepay Plan have their Prepay Balance deducted.

Prepay Renewal Date: The projected renewal date for those on the Prepay Plan. It is calculated based on the Current Subscription Price and the Prepay Balance. This date may shift earlier or later based on increase or decrease in Current Subscription Price respectively.

Artificial Intelligence Features (C.A.I.S.E)

  1. AI Features. The Service includes artificial-intelligence features, including C.A.I.S.E (CRM AI Services Environment), Deep Query and Deep Research (“AI Features”). AI Features use machine-learning models and search services, which may be provided by third parties, to generate content such as field values, records, searches, reports, summaries, research results and knowledge-base suggestions (“AI Output”) based on the prompts, pasted content, files and record data you or your users provide or select (“Inputs”).
  2. Nature of AI. You acknowledge that AI Output is generated automatically by probabilistic systems and, due to the nature of artificial intelligence, may be inaccurate, incomplete, outdated, biased, inappropriate or misleading, and may appear confident even when it is wrong. Deep Research draws on publicly available web sources that KnowTia does not control and may return information about the wrong company or person. AI Output may not be unique, and similar output may be provided to others.
  3. Your responsibility. Your use of AI Features and AI Output is at your sole risk and is your sole responsibility. You are responsible for reviewing, verifying and validating all AI Output before relying on it, saving it, sharing it or acting on it — including records, field values, reports, pricing, customer communications, and service, repair or safety procedures suggested from your knowledge base. AI Output is not legal, financial, tax, accounting, medical, safety or other professional advice and must not be used as a substitute for it.
  4. Inputs. You are solely responsible for your Inputs and represent that you have all rights, consents and lawful bases necessary to submit them and to have them processed by the AI Features. You must not submit sensitive personal information (such as government identification numbers, full payment card numbers, health information or passwords) to AI Features unless expressly permitted by KnowTia in writing.
  5. Lawful use. You must use AI Features and AI Output in compliance with all applicable laws, including privacy, data-protection, anti-spam, consumer-protection and intellectual-property laws, and the terms of any third-party web sites or platforms. You must not use AI Features or AI Output to make decisions about an individual’s eligibility for credit, employment, housing, insurance or similar purposes, or to generate content that is unlawful, infringing, harassing, deceptive or harmful. You must not attempt to reverse engineer, extract or circumvent the safeguards of any AI model or AI Feature.
  6. Third-party AI providers. You authorize KnowTia to transmit Inputs and relevant record data to its third-party AI and search service providers as needed to generate AI Output, as described in our Privacy Policy.
  7. Ownership. As between you and KnowTia, you retain your rights in your Inputs, and AI Output generated for your account and saved to your records is part of your Content. KnowTia retains all rights in the AI Features themselves.
  8. No warranty; limitation of liability. AI Features and AI Output are provided “as is” and “as available” without warranty of any kind, including any warranty of accuracy, completeness or fitness for a particular purpose. To the maximum extent permitted by law, KnowTia Concepts Corporation shall not be liable for any loss, damage, claim or decision arising from your Inputs, from AI Output, or from any action taken or not taken in reliance on AI Output, and the Limitation of Liability section below applies in full. You will defend and indemnify KnowTia against any third-party claim arising from your Inputs or your use of AI Output, in the same manner as a Claim Against Us described below.
  9. Changes and limits. KnowTia may modify, limit, meter, suspend or discontinue any AI Feature at any time, may apply usage limits, and may charge additional fees for AI Features with notice.

Payment, Refunds, and Modifications (Upgrading and Downgrading) Terms

A valid payment method (such as a credit card) is required for paying accounts. For your convenience, your Monthly and Prepay Plan subscriptions will auto-renew until you cancel the service in accordance with the terms.

For Monthly Plan:

If you cancel before the processing of your 1st invoice, you will not be charged. If you cancel after the processing of your 1st invoice, no refund will be issued on any of your past monthly invoices. The Service is billed monthly from the processing of your 1st invoice onwards and is non-refundable. There will be no refunds or credits for partial months of service, upgrade/downgrade refunds, or refunds for months unused with an open account. For any upgrade or downgrade in plan level, your credit card or electronic check that you provided will automatically be charged the new rate on your next Monthly Billing Date.

For Prepay Plan:

You have the option to enroll in KnowTia’s Prepay plan. As you enroll, you will be charged the full Prepay amount right away. Once a month, on your Monthly Billing Date, we calculate your Current Subscription Price, which is then deducted from the Prepay Balance (with appropriate discount and taxes) until it is used up, for up to the time specified within the Prepay Balance Expiration policy. After enrolling in the Prepay plan, only within the Prepay Grace Period you may switch back to a Monthly Plan. We will make this switch and refund any remaining paid balance (prorated on the daily basis) minus any applicable discount. Please contact us if you need to make the switch back to a Monthly Plan. As your usage changes, your balance will be charged accordingly. If your usage (for example, numbers of users) has increased, your monthly deductions will increase accordingly and your balance may be depleted before the annual anniversary date of initial enrollment or last past Prepay Renewal Date. When your balance runs out, we will automatically renew your Prepay Plan and charge a payment accordingly. Correspondingly, if your usage has decreased, your anniversary will be delayed up to the period specified in the Balance Expiration policy.

Balance Expiration Policy: Your annual Prepay Balance expires 18 months from when you last enrolled into the Prepay Plan or the last past Prepay Renewal Date. Any balance is not eligible for refund, credit or carryforward. Within 30 days in advance of the Prepay Renewal Date, you may notify KnowTia in accordance with the cancellation policy to cancel your account as of the renewal date. After the renewal date, you may switch back to the Monthly Plan within the Prepay Grace Period. The Prepay Renewal amount will be based on the expected monthly Current Subscription Price at the time of renewal. You will be immediately charged the full Prepay amount at the time of renewal.

All fees are exclusive of all taxes, levies, or duties imposed by taxing authorities, and you shall be responsible for payment of all such taxes, levies, or duties. Your Service may cause the loss of Content, features, or capacity of your Account. KnowTia Concepts Corporation does not accept any liability for such loss. We will transfer your balance from one KnowTia account to another KnowTia account given the closure and creation happen at the same time. You will not be eligible for any free trial, grace period or price guarantees during a transfer. If you have multiple KnowTia accounts, they are billed separately and based on their own usage and payment plan. Additional Professional Services charges may apply should you choose to engage KnowTia staff for consulting, data migration or any other services. You agree that your purchases are not contingent on the delivery of any future functionality or features, or dependent on any oral or written public comments made by us regarding future functionality or features.

Cancellation and Termination

You are responsible for properly canceling your account. Just an email or phone voice mail or any other “one-way” communication to cancel your account is not considered cancellation. You must confirm your cancellation with your KnowTia Account Manager and receive a response. All of your content and customizations, whether created as part of a free trial or a paid service will be immediately deleted from the Service upon cancellation. This information can not be recovered once your account is cancelled.

For Monthly Plans: If you cancel the Service before the end of your current paid up month, your cancellation will take effect immediately and you will not be charged again.

For Prepay Plan: With the exception of the aforementioned Refund and Modifications terms, no refund or credit will be issued. Before the Prepay Plan plan renews, you may cancel it to ensure it is not renewed. Prepay Balance is not considered a credit and hence is not eligible for a refund.

KnowTia Concepts Corporation, in its sole discretion, has the right to suspend or terminate your account and refuse any and all current or future use of the Service, or any other KnowTia Concepts Corporation service, for any reason at any time. Such termination of the Service will result in the deactivation or deletion of your Account or your access to your Account, and the forfeiture and relinquishment of all Content in your Account. KnowTia Concepts Corporation reserves the right to refuse service to anyone for any reason at any time. You will not be eligible for any refunds or credit on any outstanding balance.

Copyright and Content Ownership

We claim no intellectual property rights over the material you provide to the Service. Your profile and materials uploaded remain yours. However, by setting your pages to be shared publicly, you agree to allow others to view and share your Content. KnowTia Concepts Corporation does not pre-screen Content, but KnowTia Concepts Corporation and its designee have the right (but not the obligation) in their sole discretion to refuse or remove any Content that is available via the Service.
